Replacing Manual Spreadsheet Chaos with 3-Second Reports

The Challenge

Employees were spending 15 to 20 minutes a day logging hours through interfaces that weren't designed for the volume they were handling, and missed entries often went unnoticed until billing was already underway. The gap between timesheet data and actual project costs was growing, and it was getting harder to send accurate invoices on time.

What We Built

We built two portals, one for employees and one for admins, and migrated five years of records into a new database without taking anything offline. A compliance agent checks timesheets every day and sends reminders to anyone who hasn't logged their hours. The admin side generates six reports that pull different data depending on where the viewer is located. Five years of records moved over with zero data loss.

Results

Daily timesheet entry went from 15 to 20 minutes down to under 3. Missed timesheets dropped by over 80% once automated reminders took over. Reports that used to take days to assemble now show up in seconds. The billing accuracy gains alone covered the project cost in the first quarter.
