Finishing the work is only part of closing the job

From a job we delivered

The electrical work was complete and the GC asked for the closeout pack. The test reports were in, but the warranty named a different equipment model, the maintenance manual was missing and the supplier had not replied.

The system we built read the specification, identified the missing documents and followed up with the supplier. The project manager got one index showing what to resolve before submission.

The specification for panelboards, section 26 24 16 on page 14, asks for a warranty for model PB-420, a maintenance manual and test records at closeout. In the closeout index, the warranty received names model PB-400, the maintenance manual slot is empty and the supplier has been followed up, and the test records and as-builts are in. Project manager approval is needed before submission.

What the system does for you

For your electrical or mechanical project closeouts, we build it to:

  1. Extract the closeout requirements from the contract and specifications, with the source page for each item.

  2. Match those requirements against the warranties, manuals, as-builts and test records received.

  3. Show which documents are missing, which details conflict and who needs to resolve each issue.

  4. Follow up with the relevant suppliers and site teams for the outstanding records.

  5. Assemble the pack in the agreed GC or owner format.

  6. Keep a record of outstanding items and comments for your project manager to resolve before submission.

Your project manager approves and sends

Your project manager decides how to resolve conflicting requirements, checks the pack and approves submission. Your competent people retain responsibility for the work and its technical records.

The GC or owner decides whether to accept the closeout. We cannot promise acceptance or payment.

What we’ll need for the trial

  • Contracts, specifications and finished closeout packs from 10 past jobs.
  • The original warranties, manuals, as-builts, test records and relevant correspondence.
  • Someone who can explain what was missing and check the prepared pack.

Revisit closeouts your team has already finished

Choose 10 completed jobs, including some where closeout dragged on. We test the requirement checks and pack preparation against the records available at the time.

You see the gaps identified, anything missed, unnecessary flags and the work still needed from your team. We compare preparation and checking time with your current process. A past-job trial can test document preparation; it cannot demonstrate how quickly a supplier will answer a future request.

Questions about closeout preparation

Does this guarantee release of retainage?

No. Acceptance and payment remain with the GC or owner under your contract. The service prepares the required records and follows up on missing paperwork.

Can it work with our project management software?

We need to check access and compatibility first. We also check which closeout tasks your existing tools already handle so the scope addresses work your team still does.

How does it know what belongs in the closeout pack?

The checklist comes from your actual contract and specifications. Each requirement points to its source page, with conflicts left for your project manager to decide.

Will it chase suppliers for missing warranties and manuals?

Following up for missing records is in scope. We agree the contacts and process with you; your team still needs to resolve missing work or documents that others cannot supply.

What happens if AI misreads the specification?

Your project manager checks the requirements against their source pages. The trial measures missed requirements and incorrect flags before you decide whether to use the system on live projects.

What does the closeout service cost?

The first five US clients for this service get a free trial and setup, then service from $1,500 a month once live. It covers an agreed volume with no minimum term.

Can we share confidential project documents?

We need to agree access, storage and any third-party processing first. Do not include project files in the initial inquiry.
